Clinic administration and secretariat quality management

The Clinical Administration and Quality Management department was created after the structural change implemented at the University Clinic for Pediatrics and Adolescent Medicine in 2007 and reports directly to the organizational unit management.

One of the core tasks is the maintenance and further development of the quality management system, which requires constant adaptations in the interests of management, patients, employees and external partners.

This includes the preparation and support of annual internal and external audits according to ISO 9001:2015, which are carried out as part of the overall certification of the University Hospital Vienna. Furthermore, document control and their publication on the clinic’s intranet are implemented.

The system control and evaluation report (formerly management evaluation report) of the previous year is written annually, in which the performance, key figures and goals of the entire clinic, the clinical departments, general clinical areas as well as research and teaching are documented.

In order to achieve efficient use of resources, the cost and performance data provided by the Controlling department in the inpatient and non-bed areas and the internal service billing for the University Clinic for Pediatrics and Adolescent Medicine are analyzed and any major deviations are justified.

The tasks also include the creation of the rotation plan, an internal clinic training plan for the special subject of pediatrics and adolescent medicine, which is intended to ensure that the interns acquire comprehensive, in-depth knowledge in all pediatric specialties and emergency care.

Purely administrative tasks arise constantly, for example through construction measures, structural or personnel changes, etc., which then require room reallocations, relocations, new signage, etc. Furthermore, the creation of necessary applications such as specialization recognition (formerly additional subject recognition), exemptions, …

Since 2013, our tasks have also included the annual compilation of the annual report, which is published on our clinic’s website. At the same time, the secretariat was also responsible for managing and updating the clinic’s website.

Inclusion in clinic-wide strategies and objectives requires close cooperation with clinic management.

ISO certificate

As part of the overall certification of the Vienna General Hospital, the external recertification audit according to ISO 9001:2015 took place on April 9, 2018 at the University Clinic for Pediatrics and Adolescent Medicine. Due to the committed cooperation of all professional groups and the Quality Management Department (DQR), the University Clinic for Pediatrics and Adolescent Medicine was able to successfully complete the audit and thus extend the quality management system for a further three years. We can proudly present the certificate we have received.
